Notifications

Notifications

Administrators enable email notifications triggered by changes to wikis. If notifications are enabled by the administrator, the publisher of the wiki can allow viewers of those wikis to subscribe to the notifications. An administrator can set the sent-from email address for the notifications. The notifications related to changes to a wiki are batched and sent out based on the values entered by the administrator.

Click the System Admin tab.
Select the Manage Teams LX link.
Select the Manage Settings link.
Select the notifications options.

Send email from: This is the email address that will be displayed in the "Sender" field.

Notifications related to changes are batched up and sent at pre-set intervals - the following options enable you to configure those parameters:

Number of emails to send per batch: The number of emails to send in one batch.

Batch frequency: Indicate how often you want the emails to be sent out. Choose a shorter frequency if you would like the notifications to be sent out.

Overview

Journal LX is blogging tool that integrates with your learning management system to allow students and instructors to create rich media journals within their courses.

What can Journal LX be used for?

Engaging students in reflective writing

With Journal LX, instructors can create private journals in which their students can reflect on the course readings and discussions and other learning experiences. Reflective journaling provides students with insight into their assumptions and how they think, and it provides instructors with insight into their students' growth within the course. Using Journal LX as a reflective writing tool allows students to learn through reflection, and instructors to gain insight into their students' learning experiences and provide valuable, individualized feedback.

Sharing work for peer review and feedback

Journal LX can be configured for group access, allowing students to learn through peer review. Students can post work in their journals for review, and they can provide comments and suggestions to their peers on their work, allowing them to learn from both feedback on their own work and critiquing the work of others.

Encouraging creativity and group work

Journal LX allows groups of students to engage in written debates and discussions of course topics and concepts. Through group blogging, students sharpen their critical thinking and rhetorical skills, and they are able to exercise creativity by incorporating multimedia to make their contributions to the discussion stand out.

Teams LX gives instructors a way to create group assignments in which students can work cooperatively to formulate, write, and publish their solutions in the form of websites.Through this type of collaboration, Teams LX encourages critical thinking and analysis and evaluation and organization of relevant content.

Instructors can use Teams LX to collaboratively build shared knowledge bases with their students in the course environment. Users can author content, contribute opinions and analyses and link to external resources.

Overview

Expo LX is a personal website builder and blogging tool. Flexible and easy to configure, Expo LX allows users to create websites for a wide array of purposes and share them with others. Images, uploaded files, and links to external resources add to the richness of the shared sites.

What can Expo LX be used for?

Building a community via blogs and wikis
With Expo LX, students and instructors easily build websites based on their personal interests and activities. Moreover, sites can be interactive. Users can create blogs and wikis with their sites and choose to allow viewers to comment and contribute content.

Publishing and sharing academic portfolios
Expo LX provides a convenient platform for publishing specialized content, such as student achievements or faculty research. Users can easily assign access permissions to specific Expo pages by viewer role. Additionally, templates can be designed at the administrator level to create standardized templates for user sites.

Creating institutional knowledge bases
Expo LX users can create and share sites according to their particular objectives. Researchers can collaborate on discipline-specific sites, and faculty can easily publish departmental information.

Enabling RSS Feeds

Journal entries can be reviewed from the course page or viewed in a feed aggregator, such as Bloglines and Google Reader. After the RSS feed has been enabled by the administrator, students can subscribe to the feed.

For Course-wide Blogs

Enter a course.
Click the Control Panel link.
Click the Configure Blog Tool link.
Select Yes as the Do you want to enable public (unathenticated) RSS feed option.
Click the OK button.

For Course Content Blogs

Enter a course.
Navigate to the folder or area that contains the blog.
On the blog page, click the edit link.
Click the Modify button for the blog.
Select Yes as the Do you want to enable public (unathenticated) RSS feed option.
Click the OK button.

Overview

Podcast LX allows instructors to create and broadcast podcast episodes from their courses. When Podcast LX is enabled in the learning management system, all courses have a Podcast feed. This feed can be enabled by the instructor to allow broadcasting of episodes through an RSS feed, or the feed can be disabled if the instructor wishes to limit access to media files to logged-in users only.

What can Podcast LX be used for?

Adding audio and video content to courses gives instructors the opportunity to engage students in new and different ways.

Supplement course materials
With Podcast LX, instructors can provide students with audio and video content to supplement course materials. For example, instructors can add recordings of guest lectures or lectures given at other institutions to their course. Recordings or performances or historical events can also be added. In foreign language courses, audio recordings can be provided to help students learn proper pronunciation.

Record class lectures

Podcast LX allows instructors to provide their students with recordings of their class lectures. This allows students to learn at their own pace, review lectures after class, or listen to lectures before class. Instructors can provide lectures to students to review before class, so face-to-face class time can be used more interactively for discussion and debate.

Top Frame

To enable system-wide search in the tab area, you will need to activate a primary site sponsor area and then configure it to display the search form.

Activating the Primary Site Sponsor Area

Navigate to the System Admin tab.
Click the Manage Brands in the Portal System Management group box.
Click the Customize/Manage button of the brand you wish to customize. For most schools, this is the default brand.
Scroll to the Choose Hot Spots or Hot Links group box.
Choose Hot Spots (Image or HTML).
Click the Submit button.

Manage Hot Spots

After activating the Primary Site Sponsor Area, the Hot Spots area, which is at the top right of the Blackboard top frame, must be configured.

Navigate to the System Admin tab.
Click the Settings in the Blackboard Community System - Management group box.
Click the Hot Spots Content link.
Select the HTML option.
Copy and paste the following text into the HTML text box

Warning to Blackboard Virtual Installation Users: You will need to replace the "bb_bb60" portion of the above URL with your virtual installation ID.
Click the Submit button.
Reload the page to see the Search fields in the top frame.

Configure the Primary Hot Spots area in the top frame to contain the Search fields.

Portal Module

To enable the Search LX Portal Module first enable the Search module and then deploy the Search module to the My Institution tab or some other module tab.

Enable the Search Module

Navigate to the System Admin tab.
Click the Manage Modules link in the Portal Areas group box.
Find Search LX and then click the Properties link.
Select Yes for System Availability and Available for users to select from module list.
Select Everyone under the availability column.
Click the Submit button.

Deploy the Search Module to Your My Institution Tab

Navigate to the System Admin tab.
Click the Manage Tabs link in the Portal Area group box.
Click the Modify button for the desired tab.
Click the Default Content link.
Find Search LX and then check the Displayed and Required check boxes.
Click the Submit button.

Portal Box

To enable the Search LX Portal Box, first Configure the Portal Sponsorship area then rename it.

Configure Sponsorship Area

Navigate to the System Admin tab.
Click Manage Tabs in the Portal Area group box.
Find the My Institution tab (or your whatever tab is first displayed when users login to the system).
Click the Modify button.
Click either the Manage Hot Spots Content link or the Manage Sponsorship Content link, depending on your version of Blackboard.
In Step 1, for either Primary Hot Spots Content or Primary Sponsorship Content, select the HTML option and paste the following text into the text box.

Click the Submit button.

Rename Sponsorship Area

Navigate to the System Admin tab.
Click the Manage Tabs link in the Portal Areas group box.
Find the My Institution tab or your institution's name.

Click the Menu Column Properties link or Left Side Tool Box Properties link, depending on your version of Blackboard..
Select Yes for the Hot Spots Available field.
Type "Search" in the Name field.
Click the Submit button.

Portal Tool

Navigate to the System Admin tab.
Click the Manage Tool Panel link in the Portal Areas group box.
Click the Add Tool button.
Type "Search" into the Title field.
Select Search LX from the Select box.
Select the Yes radio button.
Click the Submit button.

Course Tool

The Search course tool can be enabled or disabled by the Administrator and the Instructor of the course. By default this tool is enabled following installation of the Search LX Building Block. Administrative settings for this tool will override those set by the instructor.

Navigate to the System Admin tab.
Click the Settings link in the Blackboard Learning System group box.
Click the Course Tools link.
Select the Building Block Tools filter option.
Locate the Learning Objects Search LX tool.
Set the appropriate availability for this tool.
Click the Submit button.

Configure Courses to Index

Configure Courses to Index

Administrators can limit which courses are indexed by the Search LX indexer based on course ID patterns. The indexer can be configured as follows:

Specify a pattern that must be matched in a course ID using an asterisk (*) as a wildcard.
Example: HIST*
Specify a pattern for courses that should be skipped by the indexer using an exclamation point, often in combination with a wildcard.
Example: !*Fall2005
Specify a regular expression.
Example: !/.*200[567]/

Navigate to the System Admin tab.
Select the Manage Search LX link.
Select the Configure Courses to Index link.

Administration

The most important part of Search LX administration is the management of the search indexing process. You will need to configure where both permanent and temporary index files reside as well as specify when and how both the first full indexing and subsequent incremental indexes are to take place.

Configuring Search Indexing

Navigate to the System Admin tab.
Select the Manage Search LX link.
Select the Search Options link.
Complete the fields in all steps of the form.

Search LX indexes all searchable content in the system in order to return search results more quickly and efficiently. Note that Search will not work until at least one indexing has been performed. Note that the first indexing may take a significant amount of time depending on the amount of searchable content on your system. Subsequent indexing will take a fraction of that time.

Manage Sharing

Manage Sharing

Expo users have can invite a person to share and collaborate on their Expo sites by sending the person an email invitation. This feature also allows users to share their Expo sites with users who do not have logins to the system. Administrators can disable sharing with people outside the system, and they can prevent Expo users from allowing outside people to add content to their Expo sites.

Click the System Admin tab.
Click the Manage Expo LX link.
Click the Manage Sharing link.

Sharing with External Users

By default, Expo LX users will not be able to share their Expo sites with external users.

Select whether Expo LX users can share their Expo sites with users outside of the system.
Define the permissions.

There are three options for sharing with external users:

No permissions can be granted:
When this is selected, users will not be able to share their Expo sites with users who do not have a system login. In this case, if a user sends an email invitation to someone, the recipient of the invitation will be prompted to login to the system in order to access the site. If the user does not have a system account, they will not be able to access the Expo site. If you have a closed system and do not want to allow any part of the system to be shared with guest users, then you should select this option.

Read permissions (View):
When this is selected, users will only be able to give read permissions to users outside of the system. In this case, if a user selects to invite an external user on the Invite Person sharing form, the user will only be able to select the "View" permission. Edit, Comment, and Export permissions can still be sent via an email invitation to users with system logins. If you allow guest users to access some content in your system but you want to prevent anyone without a system login from adding any content, then you should select this option.

Read and write permission (View, Edit, Comment, Export):
When this is selected, Expo users can share their sites with anyone whether or not they have a system login. Furthermore, users can assign all available permissions to any user.

Configuration Options for Sharing Invitations

Select whether users should be able to send invitations to their sites.
Specify the default subject and message for the sharing invitation email.

When a user sends an invitation to their Expo site, they are prompted to select whether the invitation is being sent to an external user or to a registered user at the institution. The visibility of these two options on the Invite Person form is controlled by the following two options:

Allow users to send sharing invitations to external users
Allow users to send sharing invitations to registered users at this institution

You cannot enable sharing invitations to external users if you have specified that no permissions can be assigned to external users in the Sharing with External Users settings at the top of the Manage Sharing form. If you do not allow Expo users to send invitations to external users, all recipients of invitations to any Expo site will be required to login to the system in order to access the site.

When users share their Expo sites with external users, they can email an invitation to the external users to provide them with access to their site. Administrators can set the default subject and message for the sharing invitation email. Expo LX users will be able to modify the subject or message or use the default.

Note: When creating a sharing invitation, the link for the sharing pass will appear on the form on which the user creates the invitation. The Expo LX user can copy and paste this link into the email. However, the administrator can set the link for the site to appear in the invitation by default by typing "%URL%" in the default sharing invitation Body field, as done in the example below.

Sharing Permissions

Administrators can prevent Expo users from sharing their sites with outside users and from giving Edit, Comment, or Export privileges to outside users.

Sharing with External People

Selecting the first checkbox in the Sharing Permissions group box -- "Allow users to share with people outside the system for viewing" -- allows Expo LX users to give non-system users access to their Expo sites without requiring authentication. If this option is not selected, Expo LX users can send an email invitation to anyone, but invitation recipients will be required to login to Blackboard in order to access the site.

Allowing Additional Privileges to External People

If the first checkbox has been selected, you can allow further permissions to external people with whom Expo sites have been shared. If the second checkbox is selected, Expo LX users can give external people Edit, Comment, and/or Export permissions when they email an invitation.

Configuration Options for Sharing with Groups

Select which sharing options should be available for Expo users, outside of the Invite Person option.

Select whether Expo users can share their Expo sites with the following types of groups:

Everyone in the world
Registered users at the institution
Courses (and organizations if you have the Blackboard Community System)

If a user shares their site with Everyone in the World, permissions to the site can be given to anyone regardless of whether they have a system login or not. This will not give people outside the system access to other parts of your course management system. However, this will make the shared Expo site accessible by anyone in the outside world, and Google and other search engines will be able to index the shared site.

If a user shares their site with Registered Users at the Institution, any user with a login to your system will be able to access the site. This means that the site owner can share the permalink for the site with anyone who has a system login, and other system users who find the user's Expo homepage will be able to see the shared site on the homepage.

Configuration Options for Sharing with Roles

Select the Institution Roles and System Roles with whom Expo LX users can share their Expo sites.
Select the OK button to submit the form and save the configurations.

In addition to the above-mentioned sharing options, Expo LX users can also share their Expo sites with users who have specific Institution Roles or System Roles. In some cases, this can be useful. For example, a student may want to share an academic portfolio wiki with all users with an "Advisor" role. In other cases, this can be confusing to students and faculty. For example, any end user would have a hard time understanding the "Card Office Administrator" role.

For this reason, administrators can enable or disable the display of any Institution Role or System role on the sharing screen. Only the roles that are selected by the administrator will appear to end users when sharing with a role. Best practice is to only display roles that are likely to be understood by end users, e.g., "Staff", "Student", "Faculty", or "Alumni."

Manage Templates

Manage Templates

Expo LX allows you to define templates that end users can use to create their own Expo sites. Templates that have been defined and made available will be available for Expo users to select when they create a new Expo site.

Navigate to the System Admin tab.
Select the Manage Expo LX link.
Select the Manage Templates link.

The Manage Templates page displays all existing templates and allows administrators to create new templates or modify or remove existing ones.

Add a New Template

Create a wiki or blog that Expo users can use as a template for creating new sites.

To add a new template:

Click on the System Admin tab.
Click on the Manage Expo LX link.
Click on the Manage Templates link.
Select the Add button that appears at the far right of the last row in the list of templates. This will direct you to the Add Template form.

Enter a name for the template.
Note : Be sure to give the template a name that will make sense to Expo users when they are selecting a template for their new site.

Select the Type option as either a wiki or blog.
Enter Description for the site in the field.

Note : The description will be displayed to end users when they are selecting a template for their new site.

If creating a blog template, select whether RSS should be enabled by default.
Check the Available checkbox to make the template available for selection by Expo LX users.
Note: When creating a new template, it is a good idea to not make the template available until the default template content and layout has been created.
Select the OK button to create the template.

When the new template has been added, you can add default content and create a default layout for the template.To design the template:

Select the template name from the Manage Templates list.
Create content and design a layout for the pages and entries as you would with any blog or wiki.

When ready to deploy the template to Expo LX users, make the template available as follows:

Navigate back to the Manage Expo LX page.
Click on the Manage Templates link.
Select the Modify button for the new template.
Check the Available checkbox.
Select the OK button to make the template available.

Modifying a Template

After a template is created, the template can be modified. If a template is modified, any sites that were created using the template prior to the modification will not be modified. New sites created from the modified template will contain the modifications.

Default User Sites

Default User Sites

Expo LX allows you to define default sites that appear automatically in users' Expo sites. Creating default user sites allows you to give end users a starting point when they first start using Expo. For example, you might deploy a portfolio wiki and an academic reflection journal to all students Expo sites, so they can start using blogs and wikis as soon as they get their login. This will also give them ideas of how they can use blogs and wikis outside of their courses to enrich their academic career.

Click the System Admin tab.
Click the Manage Expo LX link.
Click the Manage Default User Sites link.
Click the Add button.
Set the desired options for the user site:
- The name of the user site
- A brief description of the purpose of the user site
- The type of content in the user site (blog or wiki)
- Whether to allow users to remove the area from their own Expo sites
- Whether to make the site available to users
- Which institution and system roles the user site is available to.
Click the OK button to save the new user site.

Default user site templates can be managed just like ordinary sites. The Manage Default User Site page provides the ability to set sharing options and add, remove, modify, reorder, and create content in default sites in the same manner as the Manage Sites page within individual Expo sites.

Create templates for default Expo LX sites.
Make them available to specific groups of users.

Changes to default content in user sites that have already been made available will not be reflected in existing Expo LX sites. To ensure that all ExpoLX users have access to the new content, place it in a new (unavailable) default user site and then make that site available.

Settings

You can change several different indexing options within Search LX: scheduling, file system location, and performance.

Navigate to the System Admin tab.
Click the Manage Search LX link.
Click the Search Options link.
Configure the Search indexing process.

Indexing Schedule

The index can be refreshed manually, on a predefined schedule, or on a customized schedule.

Note: The indexer looks at all content and adds to the indexing anything that is new. During the first run of the indexer, it will consider everything new, resulting in a longer than normal index time. Subsequent indexing runs will take substantially less time, as the indexer will already contain previously found content. The first and second indexing runs should be manual (non-scheduled) so that you can determine how Search LX interacts with your system.

It is recommended that indexing is scheduled to ensure that Search always returns the most up-to-date results.

To enable the manual refresh for the Search LX index, click on the Manual radio button. Click on the Refresh Index Now button when you wish to update the Search LX index.
To select a predefined indexing schedule, click on the Predefined radio button. Choose the predefined option from the drop-down list. The Search LX index will be updated at the selected time.
To run a custom indexing option, click the Custom radio button . The custom schedule setting is similar to the CRON utility. The Show Help link provides detailed examples.

Index Location

Specify the file directory in which the Search index files should be stored.

The Search LX index files require a significant amount of space. For best results, you will need approximately 5-10% of your total file system space that is in use by Blackboard.

Shared Index Files Location is the main location of the index files. If the system is load-balanced, this value must be the same on each of the application servers. For load-balanced systems, the main index must be stored on a network or shared drive.

To use the default setting for the Shared Index Files Location, click the Default radio button.
To enter a custom setting for the Shared Index Files Location, click the Custom radio button. Enter the custom location in the text box provided.

Local Index Files Location is the location where temporary files are stored during indexing. It should be on the fastest drive available, which is usually a drive directly attached to the indexing server, but can also be on a SAN.

To use the default setting for the Load Index Files Location, click the Default radio button.
To enter a custom setting for the Load Index Files Location, click the Custom radio button. Enter the custom location in the text box provided.

Note: The default values are optimized to work for most institutions.

If the index files have become corrupted or must be deleted for some other reason, select the Delete Index Files button. Note that institution content must be re-indexed after deletion or Search LX will not return any results when users perform searches.

Performance

Control performance of the Search LX index by specifying the following settings.

Pause Between Documents

Specify the amount of time, in milliseconds, that the index process should pause between indexing documents. Lowering the pause time will cause the indexing to run faster, but the rest of the system may become slower. It should only be lowered when few or no users will be on the system. If the index process produces an unacceptable decrease in responsiveness, the pause time may be raised.

Thread Priority

Lowering the thread priority may cause the indexing to run slower, with the rest of the system becoming more responsive. Raising the thread priority may cause the indexing to run faster, with the rest of the system becoming less responsive.

Note: The default values are optimized to work for most institutions.

Merge During Index

Administrators can specify an incremental merge of the search index during the indexing process. Merging frequently during the indexing process slows down the indexing process slightly, but it will allow users to search for content that is being indexed soon after it is indexed rather than requiring the entire indexing process to be complete. Frequent indexing also allows the indexer to recover more quickly when the indexing process is interrupted.

Index Courses With Recent Activity

This setting allows administrators to control the performance of the Search index process by limiting the index process to re-index active courses. The indexer looks at the dates of recently modified course documents and entries in the Blackboard activity database to determine whether a course is active. Specify the number of days in which a course must have no activity in order to be considered inactive. Specifying "0" will cause the Search indexer to ignore this setting. Specifying anything larger than "0" will cause the indexer to only re-index courses that have had activity in the past number of days specified in the field.

Remove Inactive Courses from the Index

This setting allows administrators to control the size of the Search index files by removing course files from the index for courses that have had no activity in the specified number of days. Specifying "0" will cause the Search indexer to ignore this setting, so all old content will remain searchable. Specifying anything larger than "0" will cause the indexer to remove course files from the index if the course has not had any activity in the specified number of days.

Branding

If you have changed the name of the My Institution tab, update it in the Branding section to be consistent. This will allow the Search LX breadcrumbs and scope select box to properly reflect your branding.

Specify what label should appear for the Institution Name field in Search LX interfaces.

Upgrading Search LX

If a previous release of Search LX is installed, it must be uninstalled by following the uninstall instructions. Then you can install the newer release.

If a license key was installed with the previous release, it will continue to function with the newer release. The license does not need to be reapplied.
If the SearchLX course tool was previously disabled, it must be re-disabled after the update.

Uninstalling

When Upgrading Search LX, you must first uninstall the current installation of Journal and then install the new version. To uninstall, perform the following steps:

Login to the Blackboard server as an administrator.
Click the System Admin tab.
Click Manage Building Blocks link.
Click the Remove button for Search LX.
Wait a few minutes after uninstalling prior to upgrading to a new version.

Installing Your License Key

Navigate to the System Admin tab.
Select the Manage Search LX link.
Select the Install License link.
Copy the key that was emailed to you and paste it in the text box on the Install License page.
Accept the license.
Click the Submit button on the form.

The extension is now registered. You can repeat this same procedure when installing a second key, such as after renewing your subscription.

Registration

After installation, if a license key has not already been sent to you, the extension must be registered with Learning Objects.

Login to the Blackboard server as an administrator.
Navigate to the System Admin tab.
Click the Manage Search LX link.
Click the Register Search LX link.
Complete the form on the Register Search LX page and accept the license. If you do not have a promotional code, leave that field blank.
Click the Submit button on the form.
Click the OK button on the receipt page.
Within 24 hours, a registration key will be emailed to the address entered in the form.

Installation

Important: If you have a previous release of Search LX on your server, please review the Upgrading Search LX topic.

Download the Search .war file from the download site and save it to your desktop.
Open a web browser and navigate to your Blackboard server.
Login to the server as an administrator.
Navigate to the System Admin tab.
Click the Manage Building Blocks link.
Click the Install Building Block link.
Click the Browse button.
Navigate to your desktop and choose the saved .war file by double-clicking on it.
Click the Submit button on the webpage. The file will then upload.
Click the OK button on the receipt page to return to the Manage Building Blocks page.
Change the status of Search LX to “Available.”
Click the OK button on the Make Building Block Available page.
Click the OK button on the receipt page to return to the Manage Building Blocks page.
The extension is now installed.
